Smart Upload: Email, Document, and Photo Ingestion

Add care information by forwarding an email, uploading a document, or taking a photo. The system extracts the relevant data for you.

What Smart Upload does

Smart Upload reads emails, documents, and photos and extracts care-relevant information, such as medications, appointments, diagnoses, and provider details. Instead of manually typing in data from a discharge summary or a prescription label, you can upload the source and let the system do the work. You always review what was extracted before anything is saved to your care data.

How to use Smart Upload

There are three ways to use Smart Upload. First, you can forward an email (such as an appointment confirmation or pharmacy notification) to your care circle's ingest address. Second, you can upload a document (PDF, image, or Word file) from the Documents section using the Smart Upload button. Third, you can take a photo of a prescription bottle, discharge papers, or any printed medical document. In each case, the system processes the content and presents the extracted data for your review.

What types of content work best

Smart Upload works well with discharge summaries, prescription labels, appointment letters, pharmacy printouts, insurance explanation of benefits, and typed medical records. Handwritten notes may produce less reliable results. Photos should be well-lit and in focus. For best results with documents, use originals rather than copies of copies. The system is designed to handle common medical document formats, but you should always review the extracted data before confirming.

Reviewing and confirming extracted data

After Smart Upload processes your content, it presents the extracted information in a structured view: medications with dosages, appointment dates and providers, or other relevant details. You can edit any field before saving, remove items that were misidentified, or add details the system missed. Nothing is saved to your care data until you confirm. This review step is important because automated extraction, while generally accurate, may occasionally misread a value or miss context.

Privacy and security

Uploaded documents and photos are processed securely and are not stored after extraction is complete. The system processes the content to extract structured data and then the source material is discarded. Only the confirmed, structured data is saved to your care profile. Forwarded emails are processed by the ingest system and not retained after extraction.
