Managing members and roles
Add, remove, and adjust permissions for everyone in your care circle.
Viewing current members
Go to Family > Members to see everyone in your care circle. Each member listing shows their name, role, contact information, and recent activity. You can see who has been logging visits, completing tasks, and contributing observations. The list also shows who has been active recently and who might need a gentle nudge to check in. This visibility helps identify when someone has gone quiet, which might mean they are overwhelmed, disengaged, or simply unaware of what needs to be done.
Understanding roles and changing them
The care circle owner (usually the person who created it) can change member roles. Tap on a member and select "Change Role." Role options include: Primary Caregiver (full admin access including inviting and removing members, managing settings, and deleting data), Family (standard access to view everything, log visits, complete tasks, and add information), Professional Caregiver (access to care information needed for their work, but separate from family-level discussions), and Friend (basic access for trusted people who help with specific tasks or want to stay informed).
Removing a member
If someone needs to be removed from the circle, only the owner can perform this action. Go to the member's profile and select "Remove from Circle." Their past contributions such as visit logs, completed tasks, and observations remain in the record for continuity, but they can no longer access circle data. This may be necessary when a professional caregiver changes, a family relationship changes, or someone no longer wants to participate.
Adding professional caregivers
If a home health aide, nurse, physical therapist, or other professional is part of the care team, invite them with the Professional Caregiver role. This gives them access to the care profile, medication list, routine, and health records they need to do their job well. They can log visits and observations, which adds valuable professional perspective to the care record. When a professional caregiver leaves and a new one starts, remove the previous one and invite the replacement.
Tips
Keep member contact information up to date so notifications and alerts reach the right people. If transferring circle ownership (for example, when the primary caregiver changes), go to Settings > Circle and select "Transfer Ownership" to assign a new owner. Review the member list periodically and remove anyone who is no longer involved. Each member should have their own account; sharing login credentials defeats the purpose of individual accountability and activity tracking.
